What this is

Family Billing shows invoices from your school, payments you have made, and balances that are still due. Your school decides what appears here.

Do this

  1. After you sign in, open Billing from the menu.

  2. Choose an invoice to read the amount, billing period, payer, and current status.

  3. Open a bill, then Add card or bank. Complete the secure card or bank fields and agree to save it. Adding it does not charge you or turn on automatic payments.

  4. Review the balance and fees, then choose Pay now. To pay bills automatically on their due date without opening one, choose Turn on under Automatic payments on Billing. Add a card or bank account if you have none, read the fees, check the box, and choose Turn on.

  5. Paying by check or cash? The How to pay card shows the school’s own instructions, such as who checks are made out to, with Send message. Each unpaid bill shows them too.

  6. For one payment, open the paid bill and choose Print receipt. A bill paid in parts lists every payment, each with its own receipt. For a month or a year, use Statements on Billing and choose Print. Receipts and monthly statements show the school’s name and, at an in-home daycare, its home daycare address. When the school has saved its tax ID, the year-end statement shows its name, its legal business name when it’s different, its mailing address and its tax ID, so your tax form matches. Otherwise it shows only the school’s name; ask the school for the rest.

How it works

Invoice
shows what the school billed for a period. A draft is not visible until the school approves it.
Payer
is the person or organization responsible for all or part of an invoice. More than one payer can share an invoice.
Paid by someone else
bills for your children that someone else pays, such as the other parent or an agency that helps with care. You can read them, but you don’t need to pay them.
Help from an agency
when an agency pays part of your child’s care, your own bill shows its part as a line, such as “Paid by” and the agency’s name, or in a box called Who pays for this bill. Either way, you pay only the rest.
Payment
shows its current status. A returned or refunded payment no longer counts as collected. A check or cash payment the school records can show the check number and the day they received it; year-end statements count it on that day.
No online payments
when the school has not turned on online payments, Automatic payments says so and shows how to pay by check or cash instead.
One-off charges
a charge the school adds now and then, such as a field trip fee, says which child it is for, such as Field trip fee — Mia. The school’s own words stay as it wrote them.
A bill sent again
when the school sends a bill by mistake or with an old price, it can void it and send the right one. The voided bill leaves your Billing, and the new one says Replaces the bill sent and the day. A bill paid in more than one payment says so, such as Paid $400.00 in 2 payments, the last on Friday, October 9.
Late pickup fee
when your child is picked up after the school closes, the school may charge its late pickup fee. It shows as its own line on your next bill, such as Late pickup on Oct 12 (5:52 PM). Questions go to your school.
Closed days
a bill can say Closed Mon Dec 28 – Wed Dec 30 (Vacation week): not charged. Those days are left off your tuition.
Fees
appear before you confirm an online payment. Ashby’s $1.99 service fee applies only to a successful online payment; the card or bank fee is shown separately. Cash and checks recorded by the school do not add an Ashby collection fee.
Bank verification and automatic payments
A bank method may remain pending while you complete Stripe’s verification instructions. Automatic payments check once a day and wait until the bill is due; a declined payment needs your attention before the next try. Turning automatic payments off does not cancel a payment already processing.
School questions
should go to your school. Ashby does not decide tuition, change an invoice, or act as the school’s general accounting system.
