Staff time and timesheets

Clock in, record breaks, review hours and export timesheets.

What this is

Staff time records actual clock entries. Timesheets collect those entries for review before export.

Do this

  1. After signing in, open Staff time and your name. Choose your working room, then Clock in.

  2. Use Start break and End break when you stop and return. Choose another room and Change room when you move. Clock out when you finish.

  3. If a clock change reduces room coverage, arrange coverage with your director. Go back to keep the current entry or record the change after reviewing the warning.

  4. Choose View timesheets from the row menu. Create a pay period; the Until date is not included.

  5. A director reviews the hours. Correct entry or Add missed entry in Clock history requires a reason.

  6. After the period ends, approve hours and Download CSV. Changed hours must be reopened and approved again before export.

  7. Directors can clock staff who do not have a login. Choose Include inactive staff to review a former employee’s history and timesheets.

How it works

Actual presence
follows clock-in, room changes and breaks. Scheduled shifts never clock anyone in. Attendance uses actual room presence and recorded background status. Texas centers also get ordinary-classroom age and group targets. Directors still check staff eligibility, permit conditions and special activities. Changed background decisions, staff roles or school settings may require a fresh coverage review.
Timesheets
use school-local dates and actual elapsed time, including overnight shifts and daylight-saving changes. Missing clock-outs are flagged, not guessed.
Corrections
preserve original entries. Each approval stores an immutable copy of the reviewed hours. Later changes block export until another review.
Exports
include total clocked, active and break time separately. Your payroll provider applies pay, overtime and break rules. Ashby does not run payroll.
Former staff
keep their clock history and approved hours. Normal clock actions stop after removal; managers can make dated corrections with a reason.
Access
limits staff to their own history. Directors manage their schools; a timesheet spanning other schools requires access to every affected school.
